Food Bank Drive Shopping List

A food bank drive needs more than donated groceries. Plan the items volunteers will use to receive, sort, label, store and transport donations safely. This shopping list covers collection-day equipment, drink service, signage and basic setup supplies. Quantities depend on your volunteer count and opening hours, so check the donation terms before buying perishable food or disposable replacements.

Tips

  • Plan one table for every 4–6 volunteers working at the same time, plus a separate table for registration or information. This keeps donated goods away from drinks and paperwork.
  • Allow 2–3 drinks per volunteer for the first hour, then one drink per person for each additional hour. Chill perishable groceries before the venue opens and keep them in coolers until collection.
  • Prepare one label set for each donation category and print at least 20% more labels than your target number of crates. Labels are often forgotten until sorting starts.
  • Bring one extension cord and one power strip for every powered work area, and test the route before volunteers arrive. Keep cables away from entrances and walking paths.
  • Set aside a transport cart and enough crates for the full return load, not just the first collection round. Confirm the food bank’s accepted items and delivery route at least 48 hours beforehand.

Frequently asked questions

How much food should I buy for a food bank drive?
Buy only the food needed for volunteer refreshments or the specific items agreed with the food bank. For drinks, allow 2–3 per volunteer during the first hour and one more per volunteer for each later hour.
What supplies do I need for a food bank collection point?
Plan tables, crates, labels, information and directional signs, a transport cart, coolers for perishables, and basic serving equipment. Add one powered setup with an extension cord and power strip wherever you use a coffee machine or kettle.
When should I chill food for a food bank drive?
Chill perishable groceries on the day of collection, before the venue opens. Keep them in coolers until they are handed over, and confirm the food bank’s storage requirements at least 48 hours in advance.
How many labels should I print for a food bank drive?
Print one label for each donation category and prepare at least 20% extra for replacements or new categories. Have the labels ready before volunteers arrive so sorting can begin immediately.
