Tips

  • Confirm the date, location and permit requirements before contacting stallholders. Allow at least 8–12 weeks for applications or approvals if your fair needs formal permission.
  • Reserve stalls, tents, tables, chairs and power outlets as soon as the layout is known. Mark each position on a printed floor plan and keep a few spare tables or chairs available for last-minute changes.
  • Send participant information at least 2 weeks before the fair, including arrival times, parking, the route, stall numbers, power arrangements and any dietary-information deadline.
  • Prepare payments and cash at least 1 day in advance. Test payment terminals, prepare cash registers and change, and place price lists and signs where visitors can read them without blocking the queue.
