  • Confirm the venue and date before contacting designers or sending invitations. Allow at least 6–8 weeks for a small show so you can secure the runway layout, audience seating, backstage partitions, clothing racks and technical equipment.
  • Schedule outfit checks at least 7 days before the show, not on the event day. Record each model’s size, assigned looks, shoes and accessories, then keep a small alteration window for garments that do not fit correctly.
  • Build the run-of-show around real changeover times. Allow roughly 3–5 minutes between looks or groups when models need to return backstage, change outfits and reset the walking order.
  • Complete the sound and lighting test before doors open. Check the mixer, speakers, wireless microphones, laptop, audio cables, extension cords, power strips, spotlights and cable trays with the actual music and presenter’s microphone.
