What You Need for a Farmers' Market

A farmers’ market needs more than produce and market stalls. Plan for the full setup: covered stalls, tables, shelving, seating, serving ware, refrigeration, payment equipment and safe cable routing. Buy or bring disposable items only where reuse is not practical, and confirm quantities against your expected visitor and vendor numbers. The items below cover the equipment most often missed when the market opens before everything is ready.

Tips

  • Allow at least one table per stall, then add separate tables for coffee, tea, registration or shared seating. Tablecloths and booth covers should be checked before setup because replacements are difficult to arrange on market day.
  • For hot drinks, plan one coffee cup per expected serving plus a reserve of 10–15%. Bring thermos flasks, pitchers, kettles or coffee machines, and enough reusable cups, plates, bowls, forks, knives and spoons for the busiest service period.
  • Keep fresh produce and other chilled goods in refrigerators or coolers until they are displayed. Have enough cooling capacity for the first delivery as well as any stock that cannot fit on the stall.
  • Check every power point before bringing equipment. Use extension cords, power strips and cable mats together so cables do not cross visitor routes, and keep a backup option for coffee machines or refrigeration where possible.
  • Do not leave payment and visitor-control items until the last day. Test each cash register and card machine at least 24 hours before opening, and prepare bollards and barrier tape for queues, vehicle routes or areas that need to stay closed.

Frequently asked questions

What should I buy for a farmers' market?
Start with one market stall, table and suitable cover for each vendor, then add shelves, tablecloths and seating where needed. You will also need serving ware, coolers or refrigerators, power equipment, cash registers and card machines.
How many cups do I need for a farmers' market?
Plan for one cup per drink serving, plus 10–15% extra for breakage, loss and unexpected demand. Keep separate stocks of reusable cups and coffee cups if both hot and cold drinks will be served.
When should I test card machines and power equipment?
Test card machines, cash registers, coffee machines, kettles and refrigeration at least 24 hours before opening. Check extension cords, power strips and cable mats at the same time so missing equipment can still be replaced.
How much cooling space do I need for market produce?
Provide enough refrigerator or cooler space for the first delivery and for any chilled stock that will remain after display. Check capacity at least one day before the market, then leave room for air circulation instead of packing containers tightly.
