  • Set the weather plan before you send invitations. Decide where the ceremony, meal and dancing will move if rain or strong wind makes the outdoor layout unusable, then check that the tents, lighting and guest seating work in that arrangement.
  • Collect dietary requirements with the RSVPs and give the caterer a final guest count on the agreed deadline. Recheck the list when you create the final guest list, because late changes affect portions, place settings and table numbers.
  • Confirm every delivery at least 7 days before the wedding, including tents, tables, chairs, flowers, lighting and sound equipment. Ask for delivery windows and access instructions so vehicles are not arriving while guests are being seated.
