- Set the show schedule before sending invitations, including arrival, warm-up, doors opening, intervals, and the expected finish time. Leave at least 15 minutes between major program sections for changes or technical adjustments.
- Test every music file on the laptop and sound system at least 48 hours before the performance. Keep spare audio cables, extension cords, power strips, and a backup copy of the files at the venue.
- Inspect the dance floor and playing area when the venue opens. Check that floor panels and stage sections are secure, the surface is clear, and there is enough space for entrances, exits, props, and costume changes.
- Hold the final rehearsal with costumes, props, microphones, lighting, and music in the same order as the show. Schedule it no later than the day before, so missing items can still be replaced.
- Brief the crew in writing before show day with arrival times, seating or audience allocation, technical cues, reception duties, and emergency contacts. Count chairs, tables, glasses, plates, and serving utensils before guests arrive.
