  • Confirm the location, permits and power connection before inviting stallholders. Without a confirmed site or reliable electricity, your booth layout, lighting, coffee machines and food warmers cannot be finalised.
  • Set a registration deadline for stallholders and collect dietary requirements at the same time. Send the route, parking information and a reminder at least 7 days before the market.
  • Create the booth layout before ordering or checking furniture. Count party tents, market stalls, tables, chairs, booth panels, cable trays and lighting against the number of planned stands.
  • Assign volunteers to clear time blocks, not just general duties. Include named cover for setup, payments, stallholder questions, programme changes and closing so the site can be cleared on time.
  • Do the final stock and shopping check 1–2 days before opening, then collect fresh produce and chill drinks as late as practical. Test payment terminals, prepare the cash drawer and check extension cords, power strips and fire extinguishers before visitors arrive.
