Christmas market checklist

A Christmas market needs more than stalls, decorations and hot drinks. You need to secure the venue, check permissions, coordinate stallholders, plan power and book practical services before the busy final week. This checklist covers the full run-up, from recording the date and sending invitations to testing lights, chilling drinks and setting out supplies. Use it to keep deadlines visible and prevent the details people often leave until the last day from disrupting opening time.

Tips

  • Start with the date, venue and permit check, then confirm the market layout before inviting stallholders. Your floor plan affects stall spaces, power points, toilets, queues and the route signs visitors will follow.
  • Give stallholders a firm registration deadline and collect dietary requirements at the same time. This leaves time to confirm numbers with food and drink suppliers instead of discovering missing information during setup.
  • Test every electrical item before market day, including Christmas lights, coffee machines, kettles, mulled wine warmers and soup kettles. Map power points and place cable mats wherever extension cords cross a walking route.
  • Create the volunteer schedule at least one week ahead and include setup, welcome, trader support, waste checks and closing duties. A rota with named people and handover times is more useful than a general request for help.
  • Do the final weather check 48 hours before opening and confirm deliveries before setup begins. Keep non-perishable items ready, chill drinks in advance, and make sure price tags, cash boxes and card machines are not still being assembled on the morning.

Frequently asked questions

How far in advance should I start planning a Christmas market?
Start at least 8 to 12 weeks before the market. Reserve the venue, check the permit, contact suppliers and invite stallholders first; leave the final week for confirmations, shopping and testing equipment.
When should I invite Christmas market stallholders?
Send invitations around 6 to 8 weeks before the event, with a registration deadline at least 3 weeks before opening. That gives you time to process registrations, collect dietary requirements and finalise the floor plan.
When should I check Christmas market power and lighting?
Map power points when you design the layout, then test all electrical equipment and Christmas lights at least 3 days before the market. Recheck connections during setup, especially where extension cords and power strips are used.
How many volunteers do I need for a Christmas market?
Plan at least 1 volunteer for every 25 to 30 visitors expected at busy times, plus separate cover for setup and closing. Publish the volunteer schedule 7 days ahead so people can confirm their shifts.
