Christmas Market Checklist
A Christmas market needs more than stalls and festive decorations. You need to secure the location, permits and power early, then coordinate stallholders, registrations, pricing, food and drinks. This checklist covers the practical work from the first planning decisions to setup on the day. Use it to keep 67 tasks and 59 supplies under control without leaving lighting, payment equipment or dietary requirements until the last minute.

Tips
- Start with the date, location, permits and budget before contacting stallholders. Confirm how many market stalls fit, where visitors will walk and what the venue allows before you accept registrations.
- Check power requirements at least two weeks before the market. Coffee machines, kettles, hot-drink urns, lighting and speakers may need separate outlets, extension cords and power strips.
- Set a firm registration deadline and collect dietary requirements at the same time. Give yourself at least 7 days to place food orders, confirm bakery pickups and label suitable snacks.
- Create the booth layout before delivery day, including storage boxes, tables, chairs and clothing racks. Mark power outlets, the welcome point, payment areas and the route between stalls so setup does not become guesswork.
- Plan the final 24 hours in batches: chill drinks, sort Christmas decorations, prepare snacks, check the inventory list and withdraw cash. Tell stallholders their arrival time and send the layout and access instructions before the event.
Frequently asked questions
- How early should I start organising a Christmas market?
- Start at least 8 to 12 weeks before the market. Secure the date, location, permits and budget first, then reserve stalls, contact stallholders and begin promotion.
- How many stalls do I need for a Christmas market?
- Base the number on the available floor area and visitor flow rather than a fixed target. Draw the layout first, leaving clear walking routes and space for tables, chairs, storage and power access.
- How much food and drink should I prepare for a Christmas market?
- Use confirmed registrations and expected attendance to calculate quantities, then add roughly 10% for late demand. Finalise dietary requirements at least 7 days ahead and chill drinks on the day before opening.
- When should Christmas market posters go up?
- Put posters up 2 to 4 weeks before the market, once the date, location and opening hours are confirmed. Replace or update them immediately if registration details or timings change.
