Tips

  • Confirm stallholders before finalising the layout. Ask about power needs, table sizes, dietary requirements and arrival times, then leave clear space for visitor traffic and storage.
  • Check every power outlet before setup day and map extension cords, power strips and cable mats. Keep cables out of walking routes and test string lights, kettles, coffee machines and soup kettles before visitors arrive.
  • Prepare the payment plan at least one week in advance. Decide which stalls use cash registers, card machines or receipt printers, order cash in advance and keep a written record of who is responsible for each till.
  • Create prices, menus and directional signs before the final setup day. Print spare copies, mark each stall clearly and place signs where visitors decide where to queue, pay or find refreshments.
  • Schedule volunteers in shifts rather than relying on one team all day. Cover setup, welcome, queues, payments, restocking, waste checks and closing, with handover time between shifts.
