Christmas Market at Station: Planning Checklist

A Christmas market at a station needs tighter coordination than a standard indoor market. Passenger access, permits, power supplies and delivery windows must be confirmed before you book stalls or order catering. Use this checklist to work through the plan in order, from the first layout and supplier decisions to signage, payments and final setup. It also helps you spot details that are often left until the last minute, such as dietary information, cable safety and volunteer cover.

Tips

  • Confirm station access, permitted areas and delivery times before finalising the market layout. A small change to the approved route can affect stall positions, catering access and where equipment can be unloaded.
  • Check every power outlet against the equipment you will use, including coffee machines, kettles, hot drink urns and card machines. Arrange extension cords, power strips and cable mats before setup day rather than improvising around passenger routes.
  • Collect dietary requirements when registrations are processed, then pass the final numbers to catering at least 3–5 days before the market. Keep serving equipment and food preparation tools separate so the catering team can work without blocking the stalls.
  • Schedule deliveries in time to receive and check them before the market opens. Count stock, tableware and equipment as they arrive, and keep transport carts and storage crates available for moving supplies through the station.
  • Plan the setup backwards from opening time: allow time for stalls, tables, chairs, decorations, signs, price cards and payment equipment, then add a 30-minute buffer. Test card machines and cash registers after the power is connected, not when the first visitors arrive.

Frequently asked questions

How early should I start planning a Christmas market at a station?
Start at least 8–12 weeks before the event. Permits, station access, stallholders, suppliers and delivery windows often take longer to confirm than the physical setup.
When should I confirm Christmas market stallholders?
Aim to secure stallholders 4–6 weeks before the market. This gives you time to share the booth layout, confirm arrival details and adjust the space if a stallholder cancels.
How long does it take to set up a Christmas market at a station?
Allow at least 3–4 hours for a small market, including stalls, tables, chairs, signage, decorations, power and payment checks. Add extra time if deliveries arrive during setup or access routes must remain open.
When should catering and dietary requirements be finalised?
Collect dietary requirements during registration and send the final count to the caterer 3–5 days before the event. Confirm delivery times again on the day before the market.
