Tips

Count one chessboard, complete set of pieces, chess clock and score-sheet setup for every game played at the same time. Add spare boards and clocks so one equipment failure does not stop a round.
Bring more score sheets and pens than the exact number of games. A practical buffer is 10–20% extra, especially if players make mistakes or a sheet is lost.
Test the laptop, printer and every chess clock before the tournament starts. Pack printer paper and power banks as backups; a registration desk cannot work if the equipment is uncharged or out of paper.
Prepare the registration desk with name badges, clipboards, pens, tape, scissors, a stapler and markers. Put these supplies together in one box so check-in does not depend on searching the hall.
Check the venue layout before shopping for power equipment. Count the devices that need electricity, then bring suitable extension cords and power strips; keep cables away from walkways and playing areas.
