  • Set the tournament format before opening registration. Decide how many rounds, games, time controls and scoring method you will use so players receive accurate information from the start.
  • Assign the competition director and assistant officials before the tournament week. Plan at least one official for the main hall and extra help for registration, pairings and results if the field is large.
  • Test every chess clock, laptop and printer before players arrive. Keep spare clocks, spare boards, printer paper, extension cords and power strips together at the competition director’s table.
  • Prepare the registration desk at least 30 minutes before opening. Put out the participant list, name badges, pens, clipboards and any fee-checking materials so arrivals do not delay the first round.
  • Confirm catering quantities after registrations close, not when invitations are sent. Add dietary requirements to the catering list and check the shopping list before collecting food, prizes and certificates.
