Charity Christmas Market Checklist

A charity Christmas market needs more than stalls, decorations and festive food. You also need to confirm the charity, manage permissions and insurance, coordinate stallholders and suppliers, and give volunteers clear jobs. Work through the checklist in order, starting with the date, location and budget. In the final week, focus on deliveries, dietary requirements, donation payments, the weather forecast and a printed run sheet so the event can open on time.

Tips

  • Set the date, location and charity before contacting stallholders. Then build the budget around the number of stalls, tents, tables, catering supplies, promotion and donation costs.
  • Check permits and insurance several weeks before the market. Outdoor Christmas markets may need approval for trading, food service, amplified music, temporary structures or public access.
  • Give every volunteer a named role and arrival time. Include separate cover for stallholder check-in, donations, refreshments, setup, visitor questions and closing tasks.
  • Confirm stall layouts and deliveries at least 3–5 days before opening. This is when missing tables, shelves, tarpaulins, storage crates or serving equipment can still be replaced.
  • Make donations easy to understand at every entrance and donation point. Set up the payment method, order any cash in advance, and print the program and run sheet before event day.

Frequently asked questions

How far in advance should I plan a charity Christmas market?
Start planning at least 8–12 weeks before the market. Confirm the date, location, charity, budget, permits and insurance first, then recruit volunteers and contact stallholders and suppliers.
When should I contact Christmas market stallholders?
Contact stallholders 6–8 weeks before the event if possible. Ask them to confirm their space, arrival time, equipment needs and any power or weather requirements by a fixed deadline.
How many volunteers do I need for a charity Christmas market?
Plan for at least 1 volunteer per active area, plus 2–3 people for setup and closing. Add extra cover if the market has several entrances, a busy donation point or more than 10 stalls.
When should I check the weather forecast for an outdoor Christmas market?
Check it 7 days before the event, then again 48 and 24 hours beforehand. Use the final forecast to confirm tent arrangements, stall protection, clothing guidance and any safety changes.
