  • Allow about 250–350 g of barbecue food per adult, including meat, vegetarian options, vegetables and bread. Buy at least one vegetarian main portion per vegetarian guest, plus a little extra for shared salads and side dishes.
  • Plan two to three drinks per person for the first hour, then roughly one drink per person per hour. Buy ice on the day and keep meat, vegetarian products and drinks in separate coolers so food stays chilled.
  • Count tableware for the final guest list and add 10% spare: for 20 guests, take at least 22 plates, dessert plates, cutlery sets and drinking glasses. Include wine glasses and coffee cups only if those drinks are being served.
  • Check the barbecue and gas at least 24 hours before departure. Bring a full gas cylinder and confirm that the venue has enough power for the coffee maker, string lights or LED lamps before packing extension cords and power strips.
