Tips
- Plan at least one reusable drinking cup per participant, plus 10% extra for lost or misplaced cups. Set up water jugs or coolers before participants arrive so the first training block does not start with a queue.
- For shared circuits, prepare one station per exercise and add spare equipment where possible. Count mats, kettlebells, dumbbells, resistance bands, skipping ropes and cones against the number of simultaneous groups.
- Bring extension cords, power strips and charged power banks for the portable speaker, microphone and registration desk. Test the sound system at the venue before the session rather than discovering a cable problem during the welcome.
- Pack registration supplies separately: a registration desk, printed participant list, name stickers and pens. Put them together the day before so check-in can start immediately when people arrive.
- Have a weather backup ready before the forecast becomes urgent. A party tent, barrier tape and an alternative training room are easier to use when the outdoor zones and equipment have already been planned.

- Buy one name sticker per participant plus 10% spare. For 40 participants, that means at least 44 stickers, with a few extra for replacements or late registrations.
