Bootcamp checklist: from planning to participant welcome

A bootcamp needs more than a workout plan. You need a confirmed venue, trainers, registrations, equipment, water stations and a clear setup sequence before the first participant arrives. This checklist covers the full run-up to the day, including details that are easy to leave until the last minute, such as dietary requirements, printed schedules, weather checks and an alternative training room. Use it to keep preparation moving from the first booking to registration and the opening briefing.

Tips

  • Set the date, programme and venue before sending invitations. Leave at least 2–3 weeks for registrations, dietary information and participant updates, especially if trainers or equipment still need confirming.
  • Check the weather forecast 48 hours before the bootcamp and confirm the alternative training room at the same time. Outdoor training zones, party tents and equipment layouts may need changing quickly.
  • Prepare a printed participant list and training schedule the day before, not on the morning itself. Keep name stickers at the registration desk so check-in does not delay the first session.
  • Inspect every piece of sports equipment before setup, including mats, kettlebells, dumbbells, resistance bands, ropes and crash mats. Count shared items and place cones, barrier tape and agility ladders before participants arrive.
  • Set up water stations and catering before connecting the sound system. Chill drinks in advance, charge power banks, and test the portable speaker, microphone, extension cords and power strips in the actual training area.

Frequently asked questions

How far in advance should I organise a bootcamp?
Start planning at least 4–6 weeks before the training day. Confirm the venue, programme and trainers first, then allow 2–3 weeks for invitations, registrations and participant information.
When should I check the weather for an outdoor bootcamp?
Check it 48 hours before the event and again on the morning of the bootcamp. Confirm the alternative training room when you make the 48-hour check, so you can change the setup without rushing.
How much water should I prepare for a bootcamp?
Plan at least 1 litre of drinking water per participant for a standard training session, and more for hot weather or sessions lasting several hours. Use water jugs and reusable cups at clearly marked stations.
How early should the bootcamp setup team arrive?
Allow 2–3 hours before participant arrival for a full setup. This gives you time to inspect the venue, mark training zones, arrange furniture, prepare equipment, set up registration and test the sound system.
