Tips
- Allow one microphone and one microphone stand for each vocal or speaking position, plus at least one spare microphone for a changeover or failure. Confirm whether performers need DI boxes, monitor speakers or specific audio cables at least two weeks before the concert.
- Plan one chair per seated guest and one table for roughly every 6β8 guests if food or drinks are served. Add high tables only where standing guests need somewhere to place cups, and arrange coat racks before doors open.
- Use cable mats wherever audio cables or extension cords cross walking routes. Bring enough power strips and extension cords for the mixer, speakers, lighting stands and laptop, but have the venue approve the power layout before setup day.
- For a drinks and coffee service, provide at least one reusable glass per guest, with a 10% reserve, and one coffee cup per expected coffee drinker. One coffee machine or kettle may be insufficient when most guests arrive during the same 20-minute interval.
