Tips

  • Plan one complete workstation per participant, plus at least 10% extra shared supplies. Missing scissors, aprons or cutting tools are difficult to replace once the workshop has started.
  • Check tables and chairs against the confirmed participant list at least 7 days before the event. Allow one work surface and one chair per person, with a separate presentation table for demonstrations.
  • Test the laptop, projector, projection screen, extension cords and power strips in the room 2–3 days beforehand. Bring desk lamps if the worktops are not evenly lit.
  • Buy or collect serving supplies before the final setup: reusable cups, plates, cutlery, coffee cups and serving bowls. Set out kettles, the coffee maker and coolers before participants arrive.
  • Prepare name badges, information boards, poster putty, clothespins and rope rolls the day before. These small setup items are easy to forget and slow down room preparation when they are missing.
