What you need for an anniversary lecture

An anniversary lecture needs more than chairs and a projector. You will need registration supplies, presentation equipment, refreshments and enough tableware for the audience and speaker. Plan drinks and coffee separately, because guests often stay for the reception after the talk. This checklist also covers the easy-to-forget items, such as extension cords, cable tape, name badges and serving dishes, so setup does not stop when the doors are about to open.

Tips

  • Allow one seat per registered guest plus 5–10% spare chairs. Set aside a separate table for registration, with name badges, printed programmes and pens ready before guests arrive.
  • For a 60-minute lecture followed by a reception, allow roughly 2–3 drinks per person in the first hour, then 1 drink per person per additional hour. Add water jugs and glasses where guests can reach them without interrupting the talk.
  • Prepare coffee and tea for about 1 cup per guest during the lecture and another cup during the reception. Use coffee thermoses and teapots so the refreshment table can be replenished without running equipment through the presentation area.
  • Check the presentation setup at least 2 hours before opening. Test the laptop, projector, screen, microphones, speakers and clicker together, and bring extension cords, power strips and gaffer tape for cable management.
  • Buy or collect disposable and fresh items separately: non-perishable supplies can be handled several days ahead, while milk, cake and other fresh groceries are best obtained on the day before or the morning of the lecture.

Frequently asked questions

What should I buy for an anniversary lecture?
Plan for drinks, coffee and tea, cake or other reception food, plates, glasses, cups, cutlery, serving bowls and platters. You will also need name badges, printed programmes and the equipment needed for the presentation, including a laptop, projector, microphones and cables.
How many drinks do I need for an anniversary lecture?
For the first hour, allow 2–3 drinks per guest, including water. For each additional hour, add about 1 drink per person, then adjust for whether the event includes a reception or only a short refreshment break.
How much coffee should I prepare for a lecture?
Prepare at least 1 cup per guest during the lecture and another cup for a reception afterward. For 50 guests, that means planning for about 100 cups, with extra coffee, tea, milk and sugar available.
When should I test the equipment for an anniversary lecture?
Complete a full equipment test at least 2 hours before guests arrive. Check the presentation on the actual laptop and projector, test every microphone and speaker, and secure cables before the registration desk opens.
