  • Block out the site before confirming stall positions. Allow space for market stalls, party tents, buffet tables, queues and route signs, then check that visitors can move between areas without crossing service routes.
  • Set a firm deadline for registrations and dietary requirements, ideally 7 days before the fair. Use the final numbers to plan snacks, reusable plates, bowls, glasses, cutlery and serving utensils.
  • Confirm exhibitors and reservations at least 14 days before the event, then send a final arrival note with setup times, stall locations and unloading instructions. This prevents last-minute changes to the stall layout.
  • Print the map, programme, name badges and route signs no later than 2 days beforehand. Keep spare copies of the map and programme at the welcome point, where visitors are most likely to ask for directions.
  • Prepare payments, cash and change before setup begins, and check first-aid supplies and tools on the same day. Fill coolers only after groceries have been checked so drinks and food do not sit chilled unnecessarily long.
