- Confirm the venue, performance date and start time before sending invitations or printing posters. Leave enough time between performances for audience exit, room reset and cast changes.
- Create one current cast and staff contact list at least 7 days before the performance. Use it to confirm availability, emergency contacts and who is responsible for props, costumes, sound and lighting.
- Test the laptop, HDMI adapter, mixer, microphones, speakers and extension cords in the actual venue at least 2 hours before the audience arrives. Keep spare batteries and gaffer tape with the technical equipment.
- Prepare the audience program, run sheet and directional signs before event day. Print the run sheet and staff contact list, and place entrance signs where a first-time visitor can see them from outside.
