  • Plan two to three drinks per participant for the first hour, then add more if the race lasts longer or the weather is warm. Chill drinks in coolers before setup and keep backup stock out of direct sun.
  • Prepare one bib number, a set of safety pins and any back number holder needed for every registered runner, plus at least 5% extra. Pack starter materials in registration order so volunteers can hand them out quickly.
  • Buy route arrows, cones, ribbons and crowd barriers according to the route inspection, not just the map. Keep a separate reserve of roughly 10% for signs that are moved, damaged or missed during setup.
  • Keep at least one first aid kit at the start/finish area and another with the route team. Pack ice packs, bike pumps and spare inner tubes where volunteers can reach them without leaving their assigned section.
