Winter Market Checklist and Planning Guide

A winter market needs more than stalls and seasonal decorations. You need to coordinate vendors, opening hours, permits, power, lighting, food supplies, volunteers and a clear visitor route before the day arrives. Start with the site plan and vendor registration, then confirm practical details as the event gets closer. This checklist gives you a workable order for the 72 planning tasks and 59 items behind the market plan, including the details that are often left until the last minute.

Tips

  • Set the date, opening hours and site layout before inviting vendors. Their registration needs clear information about arrival times, stall sizes, power access and any dietary details you need to collect.
  • Reserve tents, market stalls, tables, chairs and lighting early, especially if the market runs during the darker winter months. Confirm the number of power points and map every extension-cord route before finalising the vendor layout.
  • Give vendors practical information at least 7 days before opening. Include setup and pack-down times, their stall number, parking or unloading instructions, power arrangements and the contact person for event-day questions.
  • Check fresh ingredients separately from non-perishable stock. Collect or buy fresh items as late as practical, then sort the shelf-stable supplies so cups, glasses, mugs, plates, cutlery and serving utensils are ready before setup begins.
  • Write the bad-weather plan before checking the final forecast. Decide in advance which activities move under party tents, how signs and decorations are secured, and when vendors will be informed if the layout or opening arrangements change.

Frequently asked questions

How far in advance should I organise a winter market?
Start the main planning at least 8 to 12 weeks before the market. Contact vendors and check permits first, then confirm equipment, power, activities and volunteer cover as registrations come in.
When should winter market vendor registration close?
Close registration about 3 to 4 weeks before the event if you need time to process applications and finalise the layout. Send the final practical information to accepted vendors at least 7 days before opening.
How many volunteers do I need for a winter market?
Plan at least 1 volunteer for each busy stall or activity area, plus 2 people for general help, directions and breaks. Add extra cover if the market has separate entrances, food service or a large outdoor site.
When should I check the weather for a winter market?
Check the forecast 7 days before the event to test your backup plan, then check again 48 hours and 24 hours before opening. Make the final decision about tents, routes and vendor instructions no later than the day before.
