Walk shopping list: what to buy and bring

A walk needs more than drinks and snacks. You will also need clear route markers, participant information, safety equipment and a practical setup for registration, rest stops, the start and the finish. This shopping list covers the supplies behind the plan, from reusable cups and coolers to route arrows, first aid kits and power banks. Check quantities against your expected number of walkers before shopping, and arrange anything borrowed or rented at least one week ahead.

Tips

  • Plan one reusable cup and one plate per participant, plus at least 10% extra for breakage, loss or volunteers. Use coolers and drink dispensers so drinks can be served without constant refilling.
  • Prepare route supplies before event day: count the route arrows and signs, and take extra markers for turns, crossings and any point where walkers could go the wrong way. Keep them together with traffic cones and safety vests.
  • Set aside one starter pack per registered walker, with extra packs for late registrations. Keep wristbands, stamp cards, route maps and clipboards at the registration table rather than packing them into boxes.
  • For a longer or remote route, bring at least one first aid kit, emergency blankets and emergency whistles, then assign the equipment to named volunteers. Walkie-talkies and power banks should be charged the night before.
  • Do not leave lighting and power supplies until the last day. Test work lights, battery lanterns, extension cords and power strips before setup, and bring charged power banks in case the registration area has no convenient socket.

Frequently asked questions

How many cups and plates do I need for a walk?
Allow one reusable cup and one reusable plate per participant, plus 10% extra. For 50 walkers, that means at least 55 cups and 55 plates, before adding supplies for volunteers.
How much extra food and drink should I buy for a walking event?
Buy enough for the registered participants, volunteers and a 10% buffer for late arrivals or spills. Chill drinks before setup and use coolers, thermos flasks or drink dispensers so supplies remain accessible during the walk.
What safety equipment do I need for an organised walk?
Bring at least one first aid kit, emergency blankets and emergency whistles, and provide safety vests for route or traffic volunteers. Add traffic cones and clear route signs wherever walkers need extra guidance.
When should I prepare the walk shopping list?
Finish the quantity check at least one week before the walk, especially for borrowed or rented equipment. Do the main shopping several days ahead, then check chilled drinks, snacks, batteries and charged power banks the day before.
