Wedding Ceremony Shopping List
A wedding ceremony needs more than rings and a bouquet. This shopping list covers the practical items that make the ceremony and reception run smoothly, from ceremony chairs and table linen to glasses, serving pieces and flowers. Count items against your confirmed guest list, then add a small buffer for breakage and last-minute changes. Order hired furniture, tableware and floral arrangements early, because these are the items most likely to become unavailable close to the date.

Tips
- Count chairs for every confirmed guest and add 5% spare seating, rounded up to the next whole chair. Keep a few extra chairs available for late arrivals or guests who need accessible seating.
- Plan tableware by place setting: one dinner plate, dinner fork and dinner knife per guest, plus one pastry plate and cake fork for each expected cake portion. Add at least 10% extra plates and glasses for breakage and replacements.
- Allow two water glasses and one wine glass per guest when the ceremony and meal use the same table setting. Champagne glasses can be counted for each person expected to take part in the toast, rather than for every guest if champagne is served separately.
- Order flowers and dΓ©cor no later than 6β8 weeks before the ceremony. Confirm the bridal bouquet, corsages, table dΓ©cor, candles and string lights together so the colours, quantities and delivery time match.
- Check every delivery 24β48 hours before the ceremony. Open the boxes, count the chairs, linen, tableware and glasses, and keep the rings, ceremony documents and bouquet with one named person instead of in a shared storage area.
Frequently asked questions
- How many chairs do I need for a wedding ceremony?
- Plan one ceremony chair per confirmed guest, plus 5% spare chairs. For 100 guests, that means 105 chairs; round up if your supplier works in fixed quantities.
- How much wedding tableware should I order?
- Order one dinner setting per guest, then add 10% extra for breakage and replacements. For 100 guests, plan at least 110 dinner plates, forks and knives, with cake plates and forks based on the number of portions served.
- When should I order wedding flowers and decorations?
- Confirm the bridal bouquet, corsages and table arrangements 6β8 weeks before the ceremony. Reconfirm colours, quantities and the delivery window 7 days before the event.
- How many glasses are needed for a wedding reception?
- For a full meal, allow two water glasses and one wine glass per guest, plus champagne glasses for everyone joining the toast. For 100 guests, that is 200 water glasses, 100 wine glasses and up to 100 champagne glasses.
