What you need for a walk
Use this shopping list to prepare a walk from registration through the finish area. It covers practical supplies for marking the route, guiding participants, serving food and drinks, and keeping volunteers connected. Plan drinks and serving quantities around your participant count, then check what you already have before shopping. The items most often arranged too late are route markers, rechargeable power banks, safety vests, lighting and enough waste containers for the finish area.

Tips
- Plan roughly 0.5 litres of water per participant for a walk of up to two hours, plus extra drinks for volunteers and anyone staying at the finish. Chill drinks before setup and keep a separate reserve in coolers.
- Allow at least one route arrow or sign for every unclear turn, crossing or entrance. Sort them before the event and pack barrier tape with them so route guides can correct a confusing section quickly.
- Prepare one safety vest for every route guide and volunteer working near traffic. Keep walkie-talkies or charged mobile phones with the team, and provide a rechargeable power bank for each person who may be away from the start area for several hours.
- For an outdoor start or finish area, count on one folding table for registration and one serving table, then add chairs for registration staff and anyone who needs to sit. Pack extension cords and work lights if setup or breakdown continues after daylight.
- Set aside waste bins, buckets, dustpans and brushes, and mops before catering arrives. One bin at the start and one at the finish is a workable minimum for a small walk; add more when food and drinks are served.
Frequently asked questions
- How much water do I need for a walk?
- Plan about 0.5 litres per participant for a walk lasting up to two hours. Add extra water for route guides, volunteers and the finish area, and keep a reserve in coolers.
- How many route arrows do I need for a walking event?
- Use at least one arrow or route sign for every turn, crossing and entrance that could cause doubt. Walk the full route beforehand and add markers where a participant could reasonably choose the wrong direction.
- What should I buy for the start and finish area?
- Allow one registration table, one serving table, chairs for the registration team, reusable cups and plates, serving utensils, water jugs and waste bins. Add party tents if participants or catering need cover from rain or strong sun.
- How early should I prepare the walk equipment?
- Sort route arrows, signs, bib numbers and safety vests at least one day before the walk. Charge walkie-talkies and power banks overnight, and chill drinks several hours before the start.
