  • Book the training room before sending invitations, and confirm that it has enough tables, chairs, power outlets, and space for activity stations. A room layout change on the morning itself can easily cost 30 minutes.
  • Send the reminder 3–5 days before the session and use it to confirm the start time, directions, dietary requirements, and any materials participants should bring. Update the participant list immediately after replies arrive.
  • Finish the presentation and training programme at least 3 days beforehand. Print handouts, prepare name badges, and check that the laptop, projector, screen, speaker, clicker, extension cords, and power strips work together.
  • Order catering only after registration numbers and dietary requirements are checked. For a full-day session, prepare coffee and tea before arrival, and set up the lunch buffet early enough that it does not interrupt the training programme.
