- Confirm the venue, date, keys and access arrangements before sending invitations. If volunteers need to set up, agree an arrival time and check when the room is available.
- Close registrations before calculating food and drinks. Use the final guest count to check plates, glasses, chairs, buffet space and dietary requirements rather than estimating from the number invited.
- Leave shopping and preparation in two stages: buy shelf-stable items first, then chill drinks and prepare vegetables, desserts and other fresh food close to the event. This reduces last-minute shortages and keeps food in better condition.
- Build the programme before preparing the welcome speech, games and playlist. Allow at least 10 minutes for arrivals and name badges so the opening does not start while people are still finding seats.
- Check practical equipment the day before, including coffee machines, kettles, coolers, food warmers, the portable speaker and waste bins. Test access to power and bring serving utensils separately from plates and cutlery so buffet setup is faster.
