What to buy for a tropical theme night
A tropical theme night needs more than palm decorations and colourful drinks. Use this shopping list to cover the serving table, buffet, food preparation, cooling, music and guest details in one go. Plan tableware for every guest plus roughly 10% extra, and check dietary requirements before buying food. Decorations can be added gradually, but ice, chilled drinks, extension cords and serving platters are easy to forget until setup has already started.

Tips
- Buy 10% more plates, glasses and cutlery than your confirmed guest count. Extra place settings cover breakages, dropped utensils and guests returning for another plate.
- Plan at least two to three drinks per person for the first hour, then one drink per person for each additional hour. Add coolers and ice cube trays if the venue has limited refrigerator space.
- Prepare one serving platter, bowl or utensil for each buffet dish, plus a few extras for snacks and sauces. This prevents food from being left in cooking equipment or served with kitchen tools.
- Check the power layout before buying or packing speakers, a microphone and lighting. Bring extension cords and power strips long enough to keep cables away from the buffet and walking routes.
- Pack tropical decorations in separate groups for tables, walls and the photo backdrop. Keep name badges, table confetti and non-perishable decorations together so they can be placed before food and drinks arrive.
Frequently asked questions
- How much tableware do I need for a tropical theme night?
- Allow one dinner plate, one dessert plate, one glass and a full set of cutlery per guest, then add about 10% extra. For 30 guests, that means at least 33 of each frequently used item.
- How many drinks should I buy for a tropical theme night?
- For the first hour, plan on two to three drinks per person, followed by about one drink per person for every additional hour. For 30 guests over three hours, this is roughly 120 to 150 drinks, adjusted for non-drinkers and children.
- How much ice do I need for the drinks?
- Allow around 1 kilogram of ice per 4 to 5 guests when drinks are cooled in coolers, and more if ice is also used in glasses. For 30 guests, prepare at least 6 to 8 kilograms and keep additional ice available if the room is warm.
- When should I buy food and tropical decorations?
- Buy non-perishable decorations, tableware and equipment several days before the event. Shop for fresh buffet ingredients one day ahead, and confirm allergies and dietary requirements with the caterer before finalising the food order.
