Triathlon planning checklist
A triathlon depends on three courses, several safety teams and precise timing, so small omissions can affect the whole race. Start with the date, route and permits, then secure the swimming, cycling and walking locations before opening registration. In the final weeks, confirm participants, assign bib numbers and volunteers, and prepare route signage, starter packs and timing equipment. This checklist keeps the work in order, from the first reservation to race-day setup and the finish area.

Tips
- Submit permits and notifications before publishing the registration form. Allow at least 8 to 12 weeks for approvals, especially when the bike or walking course affects traffic.
- Plan water safety separately from medical cover. Confirm kayaks, paddles, life rings and trained first-aid staff no later than 4 weeks before race day, then include their positions in the safety plan.
- Send participant information at least 7 days before the event. Include start times, parking, bicycle drop-off, course maps, required equipment and the deadline for reporting dietary requirements.
- Prepare bib numbers, swim caps, race bib straps, timing chips and starter packs in participant order 2 to 3 days before the race. Keep a printed start list and spare numbers at registration.
- Walk or cycle every marked section 24 hours before the start. Check route arrows, kilometre markers, cones, barriers and traffic posts, and keep spare signs, whistles and a bike pump at the course base.
Frequently asked questions
- How far in advance should I start planning a triathlon?
- Start 3 to 6 months before race day. Use the first 4 to 8 weeks for the date, route, venue reservations, permits and safety plan, then open registration once those basics are secure.
- When should triathlon registration close?
- Close registration 7 to 14 days before the event if you need time to confirm participants, assign start numbers, order or prepare packs, and set up timing. A fixed closing date also gives volunteers a reliable final list.
- How many volunteers do I need for a triathlon?
- Plan at least 1 volunteer for each traffic post, course section or transition duty, plus a registration team and finish-area team. Final numbers depend on the route, but confirm assignments 2 to 3 weeks before race day and provide a written shift schedule.
- When should I check the triathlon weather forecast?
- Check it 7 days before the event for early warnings, again 48 hours before the start, and once more on race morning. Use the final checks to review water conditions, heat or lightning procedures, shade, hydration and cancellation decisions.
