  • Book the training room and catering before sending invitations, then open registration with a clear closing date. Keep at least 7 days between the registration deadline and the Training Day so you can confirm numbers and dietary requirements.
  • Send the final attendance confirmation 3 to 5 days before the event. Use the confirmed list to prepare name badges, the seating plan, handouts, and enough notepads and pens for every participant.
  • Finish the program and presentation files at least 2 days in advance. Print handouts and prepare training assignments after the content is final, so you do not have to reprint materials on the morning of the session.
  • Test the laptop, projector, projection screen, speaker, wireless microphone, clicker, HDMI cable, power strip, and extension cord together at least 60 minutes before the start. Bring chargers and a backup connection because one missing cable can delay the opening.
  • Set up the registration desk, coat rack, tables, chairs, signage, flip chart, whiteboard, and work materials before attendees arrive. Prepare coffee, tea, water, and the lunch buffet only after checking the final headcount and the available cups, glasses, plates, and forks.
