What to buy and bring for a tool swap meet

A tool swap meet needs more than tables for displaying equipment. You will need clear exchange paperwork, labels, signs, power access and enough drinks and serving supplies for participants and volunteers. Buy chilled items close to the event, while non-perishables can be sorted several days earlier. Use this list alongside the plan to check that tools can be displayed safely, visitors can find their way around and the registration area keeps moving.

Tips

  • Plan around 2–3 drinks per person for the first hour, then about 1 drink per person per additional hour. Include water jugs as well as coffee, and collect chilled products on the day or the evening before.
  • Prepare one swap sticker or form for every tool, plus at least 10% extra for late additions or damaged labels. Keep plastic containers available for paperwork, small accessories and items that should not be left loose on tables.
  • Allow one extension cord and one power strip for each separate powered station, and test coffee machines, kettles, lamps and presentation equipment before setup. Keep cables away from walkways and mark them clearly.
  • Bring directional signs for the entrance, registration desk, tool sections and collection point. Prepare the information boards and printed exchange rules at least 1 day before the meet so they can be checked for missing details.
  • Use transport carts for heavy boxes and tool racks for items that should remain visible or upright. Reserve tables and chairs before shopping; otherwise the right supplies may arrive without enough display or seating space.

Frequently asked questions

How many drinks do I need for a tool swap meet?
Budget 2–3 drinks per person for the first hour and 1 drink per person for every hour after that. Add extra water for volunteers and anyone handling heavy tools.
What should I buy for the tool swap meet coffee station?
Provide coffee machines or kettles, coffee cups, reusable cups, thermos flasks, water jugs and basic serving supplies. Check the venue’s power supply at least 3 days beforehand and bring extension cords and power strips if needed.
How many labels and swap forms should I print?
Print one label or form for every tool expected, plus at least 10% extra. Finish printing and sorting them at least 1 day before the event so damaged or missing labels can be replaced.
When should I buy chilled food and drinks for a tool swap meet?
Buy or pick up chilled products on the day of the event, or no earlier than the evening before if they can remain properly cooled. Sort non-perishable stock 2–3 days in advance.
