Thesis presentation checklist: plan it in the right order

A thesis presentation needs more than a finished slide deck. You also have to coordinate the presentation space, guide and judge, guest registrations, catering, printed materials, and equipment. Start with the date, room, and key participants, then work toward the program and technical test. On the day itself, allow time to arrange the chairs, tables, registration table, refreshments, projector, and screen before guests arrive. This checklist keeps those details in the right order.

Tips

  • Reserve the presentation space and confirm the guide and judge early. Send invitations only after the date, room, and program basics are reliable, so you do not have to correct 45 separate replies later.
  • Close registrations before ordering catering, then count meals and refreshments from the final guest list. Collect dietary requirements at the same time; late requests are easy to miss once shopping has started.
  • Test the actual laptop, projector, screen, HDMI cable, adapter, clicker, and power supply together at least 1 day before the presentation. Keep a backup of the presentation on a USB stick and bring the file in a second format if possible.
  • Print handouts, name badges, and program posters before the event day. Put the welcome sign and name card holders at the registration table, and keep extra pens, scissors, and tape with the registration materials.
  • Check the room in advance and plan the setup by zones: seating, presentation equipment, registration, and coffee and tea. Begin setup at least 2 hours before guests arrive so you can test the projector again after the chairs and tables are in place.

Frequently asked questions

How far in advance should I plan a thesis presentation?
Start at least 4 weeks before the presentation date. Reserve the space and confirm the guide and judge first, then send invitations and open registration once the key details are fixed.
When should I send thesis presentation invitations?
Send the invitations around 3 weeks before the event and close registration about 7 days before it. Send a reminder 2 to 3 days beforehand with the time, room, and any arrival instructions.
How much catering do I need for a thesis presentation?
Use the final registration count as your base and add about 10% for unplanned guests or larger portions. For a presentation lasting several hours, plan roughly 2 to 3 drinks per person for the first hour, then 1 drink per person for each additional hour.
When should I test the presentation equipment?
Run a complete technical test at least 1 day before the presentation and repeat it on the event day after setup. Check the laptop, projector, screen, HDMI connection, adapter, clicker, extension cords, and power strips together rather than separately.
