Theatre Premiere Checklist

A theatre premiere depends on more than the performance itself. You need the venue, rehearsal space, programme, guest registration, press arrangements, catering and technical setup to line up before opening night. Start with the date and spaces, then move through invitations and production planning before completing the final checks. This checklist helps you see what needs arranging, what can run late, and which details are easy to overlook until the audience is already arriving.

Tips

  • Set the premiere date before booking the theatre hall, rehearsal space, photographer, videographer and catering. Keep the rehearsal space available long enough for technical work, not only cast rehearsals.
  • Send invitations early enough to process registrations and collect dietary requirements before confirming catering numbers. Allow at least 7 days before the premiere for a final guest-list update.
  • Treat the technical setup as a separate planning track: confirm the lighting plan, sound plan, microphones, speakers, mixing console, projector and screen before the final rehearsal.
  • Print programme text and prepare name badges only after the guest information is stable. Keep route, parking and access-control information ready to send with the final arrival details.
  • Schedule one complete pre-opening check for the artist list, technical supplies, decor and props, clothing and makeup. Do it before guests arrive, with time left to replace missing equipment or solve access problems.

Frequently asked questions

How early should I send theatre premiere invitations?
Send the invitations about 4 to 6 weeks before the premiere. Set a registration deadline around 7 days before the event so you can confirm catering, name badges and access control.
When should the technical setup for a theatre premiere be checked?
Complete the first technical check during rehearsal, then repeat it on the day of the premiere at least 3 hours before doors open. Test wireless microphones, speakers, lighting, projection and power connections together.
How many programmes should I print for a theatre premiere?
Print one programme per expected guest plus 5 to 10% spare copies. For 120 guests, that means 126 to 132 programmes, depending on whether staff and performers also need one.
When should catering numbers be confirmed for a theatre premiere?
Confirm the main catering order 5 to 7 days before the premiere, after registrations and dietary requirements have been checked. Reconfirm the final headcount with the caterer 24 to 48 hours beforehand.
