- Set the programme and theme before contacting speakers, then allow at least 2–3 weeks for speakers to confirm their topics and availability. Keep one realistic buffer slot in the running order for overruns.
- Reserve the venue, catering and technical equipment before sending invitations. Confirm the room has enough chairs, tables, power points and space for a registration table, speaker table and buffet tables.
- Close registration with enough time to prepare. Request dietary requirements at least 7 days before the symposium, and send registration confirmations with transport information as soon as each attendee is processed.
- Ask speakers for their presentations no later than 3 days before the event. Test every file on the event laptop and check the projector, HDMI cables, microphones, audio mixer, speakers and presentation clicker together.
- Plan the final setup in time for a full room check at least 2 hours before guests arrive. Put out name badges, the participant list and handouts, then test microphones and presentation slides from the seats furthest from the screen.
