What you need for a swap meet
A swap meet needs more than tables for displaying clothes. You also need a reception desk, numbered exchange tables, name badges, vouchers and clear signs so participants know where to go and how trading works. Plan drinks and snacks for the full opening period, then add serving equipment, reusable tableware and cleaning supplies. This checklist helps you buy or borrow the items that are easiest to forget until setup day.

Tips
- Plan one table or rack section per exchange category, then bring spare signs and labels in case the layout changes during setup. Print the exchange vouchers and name badges at least one day before the event.
- For drinks, allow two to three servings per person for the first hour, then about one serving per person for each additional hour. Keep extra drinks chilled in coolers and prepare enough coffee, tea and water before doors open.
- Bring one reusable cup and one plate per guest, plus at least 10% extra. Serving platters, coffee cups, cutlery sets and serving jugs are often overlooked when the shopping list focuses only on snacks.
- Count extension cords and power strips before collecting kettles and coffee machines. Keep cables away from walkways and check that the venue has enough sockets before setup starts.
- Place waste bins near the reception desk and food area, and keep buckets, a mop, broom and dustpan nearby. Pack cleaning supplies before the event rather than relying on the venue to provide them.
