Sustainability Conference Checklist
A sustainability conference depends on many small handovers: speakers need clear deadlines, attendees need transport and dietary information, and the technical setup must work before the first session. Use this checklist to plan the programme, registrations, catering, printed materials, equipment, and room setup in the right order. The most common delays happen when presentations, speaker details, name badges, and AV tests are left until the final week.

Tips
- Set the registration deadline early enough to collect dietary requirements and print the participant list and name badges. Allow at least 5 working days between the deadline and the conference.
- Schedule the technical test before event day, including the projector, screen, laptop, HDMI cables, microphones, mixer, speakers, and presentation clicker. Test every speaker’s presentation from the laptop that will be used.
- Confirm catering quantities only after registrations close, then check that reusable cups, glasses, plates, cutlery, serving platters, tongs, water jugs, coffee machines, kettles, and hot trays are available.
- Send speakers one briefing with arrival time, presentation deadline, room details, and technical instructions. Ask for final presentations at least 48 hours before the event so the programme can be checked on one laptop.
- Prepare the registration desk and signage before attendees arrive. Put out the printed participant list, badges, programme, coat racks, and transport information, and chill drinks while the room is being set up.
Frequently asked questions
- How far in advance should I organise a sustainability conference?
- Start at least 8 to 12 weeks ahead if you need to book a hall, invite speakers, arrange catering, and collect registrations. Set the programme and speaker invitations early, then use the final 5 working days for badges, printing, catering numbers, and room checks.
- When should speakers send their presentations?
- Ask for final presentations at least 48 hours before the conference. Schedule the technical test no later than the day before, so you can open every file and check the projector, screen, audio, microphones, and clicker.
- When should I order catering for a sustainability conference?
- Place the initial catering order after registration closes and dietary requirements are collected, usually 5 to 7 working days before the event. Confirm the final headcount and delivery time again 24 hours beforehand.
- What equipment do I need for a sustainability conference?
- Plan for a projector, projection screen, laptop, HDMI cables, extension cords, power strips, presentation clicker, wireless microphones, microphone stands, audio mixer, and speakers. Test the complete setup at least once before doors open, with one spare cable available for each connection type.
