Suppliers conference checklist

A suppliers conference depends on more than a confirmed date and a strong programme. You need a clear process for invitations, registrations, dietary requirements, speaker materials, supplier logos and name badges. In the final days, small omissions such as missing USB-C adapters, unchecked catering quantities or unchilled drinks can disrupt the day. Use this checklist to work through the planning in order, then allow enough time to bring materials to the venue and set up the room before guests arrive.

Tips

  • Set a registration deadline at least 7 days before the conference. Use the final list to confirm attendance, dietary requirements, speaker details and the number of printed name badges.
  • Collect presentation files and supplier logos no later than 3 days before the event. Test every presentation on the actual laptop and check the projector, screen, HDMI cables and USB-C adapters.
  • Confirm the room layout at least 1 day ahead. Check the position of tables, chairs, stools, the lectern and stage sections, and leave clear access to the reception and buffet tables.
  • Place the catering order only after registrations and dietary requirements are confirmed. Recheck quantities on the day before, then chill drinks and check that plates, cups, glasses, cutlery and serving utensils are ready.
  • Bring materials and equipment to the venue with enough time for setup. Allow at least 2 hours to arrange furniture, connect speakers and microphones, test the mixer, and place the participant list and name badges at reception.
