  • Set the route and date before opening registration. Use the route map to confirm the start and finish locations, road crossings, water stations and places where volunteers or barriers are needed.
  • Apply for permits as early as possible, then build the traffic plan around the approved route. Check the route again closer to race day because construction, access restrictions or changed crossings can affect signs and volunteers.
  • Close registration before printing bib numbers. Allow at least 7 days between the registration deadline and race day to sort numbers, check dietary requirements, prepare participant information and create the volunteer schedule.
  • Give every water station a named location, a responsible team and a supply plan. Participants need clear directions, while volunteers need written instructions, walkie-talkies and a way to contact the medical team quickly.
  • Prepare the finish area the day before whenever possible. Check the PA system, microphones, speakers, timing devices, power supplies, lighting and finish-line materials before loading route signs and other equipment.
