Tips

  • Prepare at least one race bib and bib belt for every participant, plus a small reserve for late changes or damaged numbers. Keep the bib numbers sorted before registration opens so volunteers are not searching during check-in.
  • Place route cones and directional signs at every turn, crossing and risk point, not just at the start and finish. Prepare spare signs and ribbon rolls so a volunteer can replace anything moved or damaged on the course.
  • Plan drinking cups and water jugs for both the start area and the finish. Reusable cups need a collection point, while coolers and thermos flasks should be ready before participants arrive rather than during the first wave.
  • Bring power banks, extension cords and power strips for the registration tables, speakers and microphone. Test the portable speakers and wireless microphones at least 60 minutes before the start, including the backup power supply.
  • Set aside safety vests, walkie-talkies or megaphones for route volunteers and give each checkpoint a clear contact method. Print the participant list, route maps and volunteer instructions before event morning so the team is not dependent on a phone signal or printer.
