What you need for a Spring Festival
Use this shopping list to prepare the practical side of your Spring Festival, from serving equipment and seating to decorations, tents and sound gear. Check what is already in stock before buying anything, especially reusable tableware, tables, chairs and vases. Plan for the full guest count, plus a small buffer for breakages, spills and late arrivals. Food, drinks and weather protection are the items most often left until the last minute.

Tips
- Count plates, bowls, cups and glasses against the number of guests before shopping. For a buffet, allow at least one dinner plate and one pastry plate per person, plus 10% extra for replacements.
- Buy or collect weather protection early. Party tents, blankets and weatherproof storage should be ready before the forecast becomes uncertain, because outdoor shelter and dry storage are difficult to arrange on the day.
- Plan serving equipment separately from guest tableware. For each buffet area, allow at least two serving spoons and one serving tray, then add allergen cards so guests can identify dishes without asking volunteers.
- Prepare drinks and cooling supplies in advance rather than waiting for setup. Chill drinks several hours before guests arrive and keep enough glasses or cups available for people who move between the bar and outdoor seating.
- Finish decoration and identification supplies before the event week. Name badges, table numbers, bunting, tablecloths and balloon ribbon are small items that are easy to forget but slow down setup when missing.
Frequently asked questions
- How many plates and glasses do I need for a Spring Festival?
- Start with one dinner plate and one glass per guest, then add 10% extra. If you are serving pastries or dessert, plan one pastry plate per guest as well; for 50 guests, that means at least 55 of each needed item.
- How much food and drink should I buy for a Spring Festival?
- Base quantities on the confirmed guest list and add 10% for unexpected guests, spills and second servings. For drinks, plan two to three servings per person for the first hour, then adjust for the event length and weather.
- When should I buy decorations and tableware for a Spring Festival?
- Buy non-perishable decorations, name badges, tablecloths and disposable supplies at least one week ahead. Check stock and do the main shopping two to three days before the event, leaving the final day for chilling drinks and preparing fresh food.
- What should I bring if the Spring Festival is outdoors?
- Bring party tents, blankets, weatherproof storage and any cordons needed for the site. Have the tents and storage ready at least one day before the festival, and confirm the weather forecast again on the morning of the event.
