What you need for a sports day
A sports day needs more than balls and cones. You will also need a clear registration point, scorekeeping supplies, team identifiers, shade or shelter, refreshments and prizes ready before participants arrive. Use the shopping list below alongside your schedule and team assignments. Check shared equipment at least one week ahead, then chill drinks, pack prizes and load transport on the day before or morning of the event.

Tips
- Plan one registration desk with a table, two clipboards and at least four pens so arrivals do not queue behind one missing item. Keep the participant list and team cards together at this point.
- For a mixed programme, count equipment by activity rather than buying one generic set: allow one ball for each active football, volleyball or basketball game, plus at least two spare balls overall.
- Give every participant a visible team identifier, such as a wristband or bib number. Prepare roughly 10% extra identifiers for late registrations, lost items and volunteers joining a team.
- Set aside one scoreboard and one stopwatch for every simultaneous match or timed station. Add measuring tapes for distance events and keep score sheets on clipboards so results survive wind and rain.
- Buy drinks early enough to chill them overnight, and prepare shelter before the forecast turns. Party tents, tables and chairs are easy to overlook when the field booking is confirmed but the weather changes.
Frequently asked questions
- What equipment do I need for a sports day?
- For a multi-sport day, plan the equipment for each scheduled activity: balls, cones or marker discs, team vests or wristbands, whistles, stopwatches and scoreboards. Add about 10% spare team identifiers and at least two spare balls for the full programme.
- How many balls do I need for a sports day?
- Start with one usable ball for every match or station running at the same time, then add two spare balls for the day. Check the schedule before shopping, because parallel football, volleyball and basketball sessions increase the total quickly.
- What should I buy for sports day registration?
- Prepare one registration desk, two clipboards, four pens, printed participant lists, team cards and bib numbers or wristbands. Pack these items at least one day before the event so registration is not delayed by last-minute printing.
- When should I prepare sports day supplies?
- Check and count the equipment one week before the event, then confirm the field, toilets and volunteer coverage. Chill drinks, pack prizes and load the transport the day before whenever possible; check the weather again on the morning itself.
