What you need for a sponsored run

A sponsored run needs more than race numbers and water. You will need supplies for registration, route marking, traffic control, first-aid coordination, refreshments and the finish area. Plan quantities from your expected participant count, then add a small reserve for late registrations and damaged items. Tips

  • Prepare bib numbers, safety pins and sponsor forms for every registered runner, plus 5–10% extra for late entries, printing errors or replacements.
  • For water, plan at least 500 ml per runner for a short run and more in warm weather. Buy enough cups for one serving at the start, finish and any water point.
  • Mark the route with arrows and kilometre markers before participants arrive. Keep spare signs, traffic cones and tape with the route team so missing or moved signs can be replaced quickly.
  • Set aside separate supplies for registration: tables, chairs, notice boards, hand tally counters and pens. Have the registration desk ready at least 60 minutes before the start.
  • Check power and sound supplies the day before, including extension cords, power strips, power banks and charged wireless microphones. Keep the finish announcement setup independent from the registration area.
