Sponsored run shopping list
A sponsored run needs more than race numbers and medals. You need equipment for registration, route marking, hydration, safety and the start and finish areas. This shopping list helps you check the items that are easy to underestimate, especially water, cups, signage and volunteer safety gear. Buy or hire what you need early enough to check quantities against your registrations, route length and number of volunteer posts.

Tips
- Plan drinking water for every participant, not just runners who ask for it. Use water jerry cans, disposable cups and coolers at the start, finish and any planned water station.
- Prepare one bib number and at least two safety pins per runner, then add a small spare batch for late registrations or damaged numbers. Keep clipboards, pens and markers at registration.
- Mark every turn before race day with route arrows, cones, flags or barrier tape. Bring extra markings for windy sections and enough crowd control barriers for the start, finish and crossings.
- Count medals and medal ribbons separately before packing them. A missing ribbon can delay the finish-line handout even when the medals themselves are ready.
- Give each first aid volunteer a visible reflective vest and access to a first aid kit, emergency blankets, nitrile gloves, hand sanitizer and a flashlight. Pack this equipment where volunteers can reach it quickly, rather than leaving it under a registration table.
Frequently asked questions
- What do I need for a sponsored run registration desk?
- Prepare a registration table with a tablecloth, clipboards, ballpoint pens and markers. Have one bib number and two safety pins per participant, plus spare numbers for late changes. Set up the desk at least 60 minutes before the first starting group.
- How much water and how many cups do I need for a sponsored run?
- Use the final participant count to calculate water for the start, finish and each water station. As a practical minimum, allow 2 cups per runner at the finish, then add extra for warm weather and volunteers. Bring more than one water jerry can if runners are spread across several stations.
- How do I mark a sponsored run route?
- Use route arrows at every turn and add cones, flags or barrier tape where runners could take the wrong path. Check the entire route 2 to 3 hours before the start, because signs can move or disappear and crossings may need additional barriers.
- What safety equipment is needed for a sponsored run?
- Provide first aid kits, emergency blankets, nitrile gloves, hand sanitizer dispensers and reflective vests for the safety team. Add flashlights if any part of the route is poorly lit, and position the equipment before volunteers receive their briefing.
