Tips
- Plan registration supplies for your busiest 30 minutes, not your average flow. Have one registration table for each 50 to 75 participants expected to arrive at the same time, with bib numbers and start number bands sorted in advance.
- For water stations, allow at least one reusable cup per runner per planned stop, plus extra cups for spills and late arrivals. Use water jugs and coolers so supplies can be refilled without sending volunteers back to the start area.
- Mark the route with route arrows and kilometer markers, then add cones and barrier tape anywhere runners could take a wrong turn or enter traffic. Pack spare signs and tape in a clearly labelled volunteer bag for the route check and race morning.
- Do not rely on one phone for timing, music and emergency calls. Bring stopwatches, a mobile sound system, wireless microphones, extension cords, power strips and at least one fully charged power bank for each key communication point.
- Set up the start and finish area with tents, registration tables, chairs and a clear place for sponsor forms. Count serving supplies for the post-run gathering separately: plates, cutlery, coffee cups, serving spoons and tablecloths are often remembered only after the first finishers arrive.
