What you need for a sponsored run
A sponsored run needs more than race numbers and water. You will need supplies for registration, route marking, traffic control, communication, weather and the finish area. Plan quantities from your confirmed participant count, then add a small reserve for late registrations and damaged items. This checklist helps you buy or bring the practical equipment volunteers and runners will need on race day.

Tips
- Order one bib number and at least two safety pins per participant, then keep 5β10% extra for replacements and late entries.
- Provide water bottles for runners and volunteers at the start, finish and any agreed route point. For a warm or longer run, plan at least 500 ml per runner, plus extra for volunteers.
- Prepare route arrows and signs before race day and pack them by route section. Bring roughly 10% more signs than your route map requires in case a sign is damaged or needs replacing.
- Give every traffic controller a reflective vest and whistle. Keep cones and crowd-control barriers at crossings, narrow sections and the start and finish area rather than distributing them evenly.
- Test the portable speaker, wireless microphone and megaphone at least one day beforehand. Pack extension cords, power strips and power banks, and bring a backup charged power bank for announcements and registration.
Frequently asked questions
- What should I buy for a sponsored run?
- Plan supplies for registration, participant identification, route safety, hydration, communication and the finish area. Typical essentials include bib numbers, safety pins, route signs, arrows, cones, reflective vests, whistles, water bottles, a speaker or megaphone and power banks.
- How many race numbers and safety pins do I need?
- Buy one race number per registered runner and at least two safety pins per number. Add 5β10% extra numbers and pins for late registrations, lost items and replacements.
- How much water do I need for a sponsored run?
- For a short run in mild weather, allow at least 500 ml per participant, plus separate water for volunteers. Increase the amount for hot weather, longer routes or multiple water points, and buy it no later than 2β3 days before the event.
- When should I buy signs and traffic-control equipment?
- Order race numbers and printed materials at least 2β3 weeks before the run. Check cones, barriers, reflective vests, whistles and route signs 3β5 days beforehand so missing or damaged equipment can still be replaced.
