What you need for a sponsored run
A sponsored run needs more than bib numbers and medals. You also need supplies for registration, route safety, water service, traffic control and the finish area. Buy or collect items based on your participant count, then add a small reserve for late registrations and damaged supplies. The list below covers the practical equipment needed from setup through the final presentation of prizes.

Tips
- Prepare one bib number, at least two safety pins and one sponsor form for every runner. Print 5β10% extra bibs and forms so late registrations or replacements do not stop registration.
- Allow one registration table for every 50β75 runners, with at least two clipboards and four pens per table. Put route maps, bib numbers and sponsor forms at the same station to reduce queues.
- Plan route safety supplies by location, not just by quantity: use cones and warning signs at crossings, turns and narrow sections, and provide one reflective vest for each traffic controller.
- Provide roughly 500β750 ml of drinking water per runner for a short run, plus extra for volunteers. Reusable drinking cups, coolers and thermos flasks should be ready before the first starter group arrives.
- Keep medals, winnerβs cups and sponsor banners at the finish area, not at registration. Set aside one table for prizes and another for drinks so the finish line does not become blocked.
Frequently asked questions
- How many bib numbers and safety pins do I need for a sponsored run?
- Prepare one bib number and two safety pins per registered runner. Add 5β10% extra of both items for late entries, damaged numbers and replacements.
- How much water should I buy for a sponsored run?
- For a short run, plan 500β750 ml per runner, then add about 10% for volunteers and spills. Bring extra water if the route is long, warm or has no refill point.
- How many reflective vests are needed for route marshals?
- Provide one reflective vest for every traffic controller or route marshal. Confirm the final volunteer count at least one week before the run so missing sizes can be replaced in time.
- When should I prepare the sponsored run supplies?
- Check the complete shopping list at least two weeks before the event and gather non-perishable items during the same week. Sort bibs, forms, signs and finish-line supplies the day before.
