Sponsored run shopping list

Tips
- Prepare at least one bib number per registered runner, plus 5β10% extra for replacements, late changes and damaged numbers. Keep them with clipboards and the updated participant list at registration.
- Allow one staffed checkpoint for every major turn or risk point on the route. Give each checkpoint a course map, whistle, stopwatch, safety vest and a clear supply of drinking water.
- Place water taps and coolers at the start/finish and at longer checkpoints. For a run lasting over an hour, plan a water point roughly every 3β5 kilometres and bring extra cups or reusable serving equipment if needed.
- Use cones, route arrows, barrier tape and crowd-control barriers before runners arrive, not during registration. Pack a separate route kit so volunteers can take signs and safety equipment straight to their assigned locations.
- Test the sound system and wireless microphones before setup is complete, and bring extension cords, power strips, power banks and LED lamps. Outdoor power points and low evening light are easy to overlook.

- Use the expected runner count, route length and weather to calculate the supply. As a starting point, prepare 500β750 ml per runner for a short event, with additional water for volunteers and checkpoints; increase this in warm conditions.
- How many first aid kits should a sponsored run have?
- Keep one fully stocked first aid kit at the start/finish and one at each remote checkpoint or vehicle-access point. For a route with three separate response points, prepare at least three kits and confirm who carries or monitors each one.
- When should I buy supplies for a sponsored run?
- Order bibs, medals, sponsor banners and other custom or delivered items at least 3β4 weeks before the run. Buy consumables and check batteries, power banks and lighting 3β7 days beforehand, then do a final shopping-list check the day before.
