What you need for a sponsored run
A sponsored run needs more than bib numbers and a marked route. You need clear signs, supplies for volunteers, first aid cover, refreshments and equipment for registration and announcements. This shopping list brings those items together so you can check what must be bought, packed or borrowed before event day. Order printed materials early, test communication equipment in advance and keep a separate box for items needed at the start and finish.

Tips
- Prepare bib numbers, safety pins, sponsor forms, pens and clipboards together in registration packs. Allow at least one pen and one clipboard for every busy registration point.
- Mark the route with arrows, signs, cones and ribbons before runners arrive. Pack spare markersβaround 10% extra is a practical allowanceβbecause signs can move or go missing.
- Keep the first aid kit and coolers at the finish area, not buried in a transport box. Put drinking supplies into coolers before the first runners are expected.
- Test the mobile sound system, wireless microphones, speakers, extension cords and power strips at least one day before the run. Charge walkie-talkies and power banks overnight and bring the chargers with them.
- Buy or confirm medals and prizes before registration closes. Pack them by category or finishing group so volunteers are not sorting awards while runners are waiting.
Frequently asked questions
- What supplies do I need for a sponsored run?
- Plan for bib numbers, safety pins, route arrows and signs, cones, ribbons, sponsor forms, pens, clipboards, a first aid kit, coolers, medals and prizes. You may also need tents, tables, chairs, waste bins and communication equipment for the start and finish.
- How many safety pins do I need for a sponsored run?
- Prepare two safety pins per participant, plus roughly 10% extra for losses and damaged pins. For 100 runners, that means at least 220 pins.
- When should I buy supplies for a sponsored run?
- Buy printed bibs, sponsor forms, route signs and medals at least two to three weeks before the event. Check the full shopping list again during the final week and pack equipment the day before.
- What equipment is needed at the start and finish?
- The start and finish may need party tents, tables, chairs, waste bins, a sound system, microphones, speakers, power cables, walkie-talkies and power banks. Set up and test powered equipment at least two hours before runners arrive.
